user-howto-cards

The six questions every help desk answers every week, as cards to print, pin up or hand to new colleagues. One page each, numbered steps, no jargon. Add your contact line, then print. The steps describe Microsoft 365 defaults: read them once against your own set-up.

One card per page. Switch off headers and footers in the print dialog.

Set up sign-in with the Authenticator app

  1. On your phone, install Microsoft Authenticator from the App Store or Google Play.
  2. On your PC, open aka.ms/mfasetup and sign in with your work address.
  3. Choose "Add sign-in method", then "Authenticator app".
  4. In the phone app: plus sign, "Work or school account", "Scan QR code". Point the camera at the PC screen.
  5. Type the two-digit number from the PC into the phone to finish.

A sign-in request that you did not start yourself: tap No, and tell IT.

Connect to the VPN

  1. Connect to the internet first: at home, in the hotel, by phone hotspot.
  2. Open the VPN program from the Start menu or the menu bar.
  3. Choose the connection named after the company and press Connect.
  4. Sign in with your work address and confirm on your phone.
  5. Network drives and internal sites work now. Disconnect when you are done.

No connection? Check that normal web pages open. Hotel Wi-Fi often needs a click in the browser first.

Add the office printer

  1. Be in the office, on the company Wi-Fi or cable.
  2. Windows: Settings, Bluetooth and devices, Printers and scanners, Add device.
  3. Pick the printer with the name on its label. Mac: System Settings, Printers and Scanners, plus sign.
  4. Print a test page.

Nothing comes out? Look at the printer's display first: paper, toner, a jam. Then call IT with the printer's name.

Reset a forgotten password

  1. On the sign-in page, click "Forgot my password", or open aka.ms/sspr.
  2. Enter your work address and the characters shown.
  3. Confirm with the Authenticator app or the phone number you registered.
  4. Choose a new password: four random words are strong and easy to type.
  5. On your phone, mail and Teams will ask for the new password once.

IT never asks for your password, by phone, mail or chat. Someone who does is not IT.

Report a suspicious email

  1. Do not click links, do not open attachments, do not reply.
  2. In Outlook, select the mail and press Report, then "Report phishing".
  3. If you already clicked or typed a password: call IT now. That is the right thing to do, and fast calls have stopped real attacks.
  4. Delete the mail after reporting.

Signs: pressure to act today, a sender address that is not quite right, a link that leads somewhere else than it says.

Join a video meeting without trouble

  1. Use a headset. Laptop speakers cause the echo that the others hear.
  2. Join two minutes early and check the microphone and camera in the preview.
  3. In the meeting: mute when you do not speak.
  4. Bad sound? Turn off your camera first, then move closer to the Wi-Fi or plug in a cable.
  5. Sharing a screen: share one window, not the whole screen.

On a meeting room system, the cable on the table connects your notebook to the screen. If nothing shows, press Windows key and P.

Menu names differ between versions and languages of Windows, macOS and Outlook, and the two web addresses only work when self-service password reset and the Authenticator app are enabled in your tenant. Nothing you type is stored. More to print: security posters, subnet and VLAN poster. For the help desk itself: top tickets, the wizard, onboarding checklist.
